Financial reporting for a small shop — without becoming an accountant

You do not need a full ledger on day one. You need to know whether this week made money, what left the till besides cost of goods, and who still owes you. That is reporting. The rest can wait until the business is bigger.

Three numbers every owner should see weekly

  • Sales by day and by payment method (cash vs everything else).
  • Expenses logged with a category — rent, airtime, transport, wages, stock purchases if you treat them that way.
  • A simple profit view: sales minus cost and expenses, even if cost is approximate at first.

Separate the owner’s pocket from the shop

If rent, school fees, and stock all come from one wallet, you cannot tell if the shop works. Pay yourself a draw. Log shop expenses in the app. The reports become usable almost immediately.

Invoices are cash-flow, not paperwork

Send invoices promptly, mark them paid, and chase outstanding ones. Quotations should convert to invoices without retyping. Tax-inclusive vs exclusive should be a setting, not a late-night spreadsheet.

Month-end in an afternoon, not a weekend

If every sale and expense was captured during the month, closing is a review: does stock look right, do payment methods match the bank and wallets, are invoices current? That is the payoff of using the POS as the book of record.
